Frequently Asked Questions
Everything you need to know about booking, paying for, and managing your event at Mavuso Trade Centre.
Bookings & Application
How do I book a venue?
Book a Venue in the top navigation, pick your space, then choose your dates on the availability calendar. Submit the application with your event details and you're done — our team picks it up from there. The flow is: Submit application → Review → Quotation & proforma invoice → Payment → Confirmed.
What happens after I submit my application?
Your booking enters our review queue as Received. Our bookings team reviews it, and if everything is in order it moves to Pending Review and then Accepted — at which point we send you the quotation and Proforma Tax Invoice. You'll get an email at every stage, and you can follow the status from your dashboard under My Bookings.
Do I need an account to book?
Yes. You'll need to sign in to submit an application and to manage it afterwards — checking status, paying, uploading an EFT receipt, requesting a reschedule, or downloading your invoice all happen under My Bookings.
Can I browse availability before committing?
Absolutely. The Calendar Matrix shows every space and its availability at a glance, and each venue page has a live availability calendar. Past days and today are blocked out, and so is tomorrow: every booking holds the day before its event to set up, so the earliest you can book is the day after tomorrow.
Payments
How much do I pay, and when?
We don't take deposits — the full hire fee is due on acceptance of the Proforma Tax Invoice, and your booking is only confirmed once the full amount is settled. All quoted rates are inclusive of 15% VAT. A mandatory caution fee is added automatically for events above the attendee threshold.
What payment methods do you accept?
You can pay by EFT bank transfer or card. For card payments you'll be taken through our secure online gateway. For EFT, upload your payment confirmation (receipt) from the booking page and our finance team verifies it.
How does EFT payment work?
Transfer the amount shown on your invoice, then upload your proof of payment from My Bookings. A finance officer verifies the receipt against our bank statement — normally within 1–2 business days — and your booking is marked paid once it clears. You can upload one receipt at a time and track the verification status from your dashboard.
What happens if I don't pay on time?
An unpaid booking expires after 7 days from submission. You'll receive a final notice before it lapses, and if you pay you're protected — paid bookings never expire. We'll also send a reminder if your event is approaching with an outstanding balance.
Can I download my invoice or receipt?
Yes. Open a booking from My Bookings and hit Download Invoice to get the PDF. Once a payment is verified you'll receive an email receipt, and EFT uploads can be viewed back from the same page.
Cancellation & Refunds
What is the cancellation policy?
Cancellations must be made in writing. The following charges apply against the total invoice:
More than 30 days before the event
25% of total invoice
15–30 days before the event
50% of total invoice
Less than 14 days before the event
100% of total invoice
When will I get my refund?
Where a refund is due, the amount owed is the total paid minus the applicable cancellation charge. Refunds are processed back to the payment method used and typically appear within a few business days. If the Centre cancels for its own reasons — such as official government or emergency use — fees already paid are refunded in full.
Can anyone cancel a booking?
Yes — the client can cancel their own booking from the booking page, and our team can cancel on your behalf. Either way a reason is required and you'll be emailed a breakdown of any forfeit and refund amounts so you always know where you stand.
Rescheduling
Can I change my event dates?
Yes. Open the booking and choose Request Reschedule. Rescheduling always requires re-approval by our team — the booking returns to the review queue and your new dates are confirmed only once accepted. The new dates can't clash with another booking on the same venue, and the earliest day you can pick is the day after tomorrow — the same day-before set-up rule the booking form applies.
Inspections & Completion
What happens after my event?
Once your event wraps, our team completes four sign-offs — security, host, team, and finance. The booking is marked Completed only once all four are done and payment is settled, and we'll email you a thank-you. If you've attended, we'd love your feedback — a short survey opens on your dashboard for every completed booking.
On the day
Do I need my own security?
For public events or functions with more than 100 attendees, professional security personnel approved by the Centre must be engaged at the client's cost — this is added to your quotation automatically as a security add-on. Our team may also ask for proof of security arrangements, public liability insurance, and other documentation before the event proceeds.
How much setup and takedown time do I get?
Two days of preparatory time before the event and one day for clearing afterwards, at the Centre's discretion. Extra preparatory days are charged at 25% of the daily hire rate; failure to clear within the allocated day is charged at the full daily rate.
Do you provide catering?
The Centre doesn't provide catering services. You're welcome to engage external caterers, but you remain responsible for their conduct and for health-and-safety compliance. If alcohol will be served, prior written approval is required and service must comply with Eswatini licensing laws — glass bottles may not be served directly to attendees.
Is backup power available?
For large-scale events, concerts, or festivals, the hirer is responsible for providing a reliable backup power supply for critical operations. The Centre isn't liable for loss or disruption from a power failure unless caused by its own negligence.
